In Preparation for Receiving of Registrations, much work will need to be done, i.e.: draft publicity releases, make posters, decide on Silent Auction Procedures and Room Set Up, get stationary supplies you will need (pens, paper, copies of forms, masking tape color of your zone North – Green, Central – yellow, South – Blue), order or design invitations.

If you decide to make a cover for your catalogue, this can be designed and run off. The Handbook must have the logos printed on it.  These logos are provided or can be requested from the ACACA Newsletter Editor.

Host Club Preparation and Receiving

Receipt of Registrations
(one person can handle this job)

  1. ACACA will send you a list of members by the 2nd week of March. If you do not have a list, please contact the Membership Chairperson. Check each registration to make sure the registrant’s name is on the list, if not, then confirm again with ACACA Treasurer/Membership Chairperson.
  2. Use the Consignment Sheets to list registrations as they are received by category alphabetically by surname first. Use separate sheets for each category. You can use the word or excel form; both are in the manual and on the flash drive.
  3. Deposit fees frequently, using a separate deposit book listing all transactions in special columns of your ledger.
  4. If pertinent information is missing from the registration form, contact the artist to update. (this will save time when receiving of works)
  5. Make copies of the Show Consignment Forms or print Consignment Forms from the flash drive provided. As you list the Artists and their pieces of art, give them a number by category starting from (e.g.(Y01)) and continue on through until all entrants have an individual category letter and number (separate sheet for each category.)  This number will now be called the Control Number and will be used to mark boxes, back and front of all pieces of art.    
  6. Return late Registrations to applicant. (deadline for ALL ZONES post marked no later than APRIL 1st!) USE YOUR DESCRETION!
  7.  Type a Show Title Card for each entry. The Title Cards are also on the enclosed flash drive, Business Card Avery 8126.  On the back of the title cards, print the CONTROL NUMBER and the TITLE OF PAINTING for the Jurors when jurying. 
  8. Make 12 cards denoting award winner in each Talent Level, (larger than the original art label) to display next to the painting after the jurying:

Artists Entering a Show

The following denotes the stages each artist must do to enter a zone show. Your duty as host club is to ensure that individual artists complete and follow all procedures.  On separate page you will find a sample of the entry form.

How to Enter a Zone Show

  1. Send or renew your ACACA membership each year between January 1 to February 28 to be eligible for that year’s show season. Go to www.acaca.ab.ca for on-line form and PayPal or credit card payment. Mailed membership applications (cheques only, no cash) will be received and accepted by date stamp on the envelope.  Note: The ACACA is unable to accept e-transfers currently.
  2. Membership received after February 28 (or 29, leap year) will not be eligible to enter that year’s show season.
  3. Host information (contact, venue, delivery times, etc.) and entry forms for the three Zone Shows will be available in February on the www.acaca.ab.ca website and in the February newsletter.
  4. Fill in registration forms (2 pages) with applicable entry fees (cheque, money order) made payable to the art club hosting the Zone show in your area and send them to the address provided.

DEADLINE FOR ZONE SHOW REGISTRATION ENTRIES: April 1.

The Alberta Community Art Clubs Association aims at uniting, serving and networking with artists throughout the province. Our goals are to foster and maintain instruction in art and to develop an interest in the knowledge of art and culture in the communities throughout the province.
